This policy explains what personal information Alia Caffeina (“we”, “us”) collects through aliacaffeina.com and the client portal, why we collect it, who we share it with, and the choices you have. Alia Caffeina is a Web Developer & Visual Design Specialist business operated by Alia Mandeville, located at 28 Marrakesh Dr, Toronto, ON. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Client projects are contracted in the name of WebProBuilders, and Alia Caffeina performs the work as its independent contractor and operates this website and portal. We may share project information with WebProBuilders for that purpose.

1 What we collect

  • Contact and project details you give us when you contact us, request a quote, or sign up for the portal: your name, business name, email, phone number, and a description of your project.
  • Account details: your email and a password (stored securely in encrypted form).
  • Quote, contract and request records: the quotes we send you, whether and when you accepted them, signed agreements (including the name you typed, the date and time, your IP address and device information), and any change requests you submit.
  • Payment information. Card payments are handled by Stripe. We never see or store your full card number. We keep a record of what was paid, when, and the amount.
  • Messages and emails you send us and the emails we send you about your project, invoices and reminders.
  • Technical information such as your IP address and browser type, collected when you use the site or portal so we can keep it secure and working.
  • Publicly available business contact information (for example a business name, phone number and website listed on a public business directory) that we may use to offer our services to businesses.

2 How we use it

  • To prepare quotes, contracts and invoices, build and host your website, and provide support and maintenance.
  • To process payments, send receipts, and send reminders about unpaid amounts, unsigned agreements and hosting renewals.
  • To keep records we need for tax, accounting, legal and dispute purposes.
  • To protect the site and portal against fraud, misuse and security problems.
  • To contact businesses about our services. You can ask us to stop at any time (see Section 7).

We do not sell your personal information.

3 Who we share it with

We share information only as needed to run our services, with:

  • WebProBuilders, the company that contracts with clients, for the purpose of delivering and administering your project.
  • Service providers that help us operate, including Stripe (payments), Lovable (website hosting and database), our email delivery provider, and Google (business listings information used to find prospective clients).
  • Independent sales representatives, who may see limited business contact information for the prospects they are assigned. They do not see client payment or contract information.
  • Professional advisers and authorities such as accountants and lawyers, or where the law requires it.

Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to local authorities under their laws.

4 How long we keep it

We keep information for as long as we need it for the purposes above. Contracts, invoices and payment records are kept for at least six years, which is what Canadian tax rules generally require. Other information is deleted or anonymized when we no longer need it.

5 How we protect it

We use access controls, encrypted connections, and trusted providers to protect your information. Access to client records is limited to the people who need it. No system is perfectly secure, and we will tell you promptly if a breach puts you at real risk.

6 Cookies

We use cookies and browser storage needed to keep you signed in and to run the site. We may also use analytics tools to understand how visitors use the site, and advertising tools to measure or promote our services. These may use cookies or similar technologies to collect information such as pages viewed, device type and approximate location. You can block or delete cookies in your browser settings, though parts of the site may not work properly without the essential ones.

7 Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it, subject to legal and contractual limits. You can also ask us to stop contacting you with offers. Email us at info@aliacaffeina.com and we will respond within 30 days. If we can’t resolve a concern, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca).

8 Children

Our services are for businesses and adults. We do not knowingly collect information from children.

9 Changes to this policy

If we change this policy, we will post the new version here with a new date. For significant changes, we will also tell portal users by email.
